How xTracker collects, uses, and protects your data.

At xTracker, we take your privacy seriously. This policy explains what information we collect when you and your team use xTracker, why we collect it, and the choices you have. By using xTracker, you agree to the practices described below.

1. Information we collect

We collect information you provide directly, information generated as you use xTracker, and limited technical information from your devices.

  • Account information — name, email address, organization, and role when you create or are added to a workspace.
  • Workspace data — team members, projects, time entries, leave requests, and attendance records you create in xTracker.
  • Activity data — time tracked, activity levels, and (where enabled by your administrator) screenshots and app usage.
  • Payment information — bank or payout details used to disburse pay, and the credentials of any connected payment provider.
  • Technical data — device type, operating system, IP address, and diagnostic logs.

2. How we use your data

We use the information we collect to provide, maintain, and improve xTracker, including to:

  • Track time, monitor activity, and record attendance for your team.
  • Process leave requests and keep timesheets accurate.
  • Generate reports and run payroll based on tracked hours.
  • Detect anomalies and protect the integrity of payroll runs.
  • Send service-related notifications and respond to support requests.

3. Activity & monitoring data

xTracker is a workforce management tool, and some features involve monitoring work activity. The level of monitoring is controlled by your organization's administrator.

Monitoring features such as activity levels, screenshots, and app usage are configured by your workspace administrator, not by xTracker. We process this data on your organization's behalf and only for workforce management purposes.

We do not sell activity data, and we never use it to build advertising profiles.

4. Payments & payroll

When your organization connects a payment provider (such as Paystack, Wise, or PayPal), xTracker stores the credentials needed to initiate payouts on your behalf. Member bank and payout details are stored to process pay runs.

Payment processing itself is carried out by the connected provider, subject to their privacy policies and terms. xTracker does not store full card numbers and does not move funds outside of the provider you connect.

5. How we share information

We do not sell your personal information. We share data only in these limited cases:

  • Within your workspace — with administrators and managers in your organization, according to their role.
  • Service providers — trusted vendors who help us operate xTracker (such as cloud hosting and payment providers) under strict confidentiality obligations.
  • Business transfers — if xTracker is involved in a merger, acquisition, or sale of assets, data may be transferred as part of that transaction.
  • Legal requirements — when required by law, or to protect the rights, safety, and integrity of our users and service.

6. Third-party services

xTracker integrates with third-party providers to deliver certain features — for example, payment providers such as Paystack, Wise, and PayPal for payroll disbursement. When you use these integrations, the relevant data is processed under that provider's own privacy policy and terms. We encourage you to review their policies. xTracker is not responsible for the practices of third-party services.

7. International data transfers

xTracker may process and store information in countries other than the one where you live. Where data is transferred across borders, we take steps to ensure it remains protected in line with this policy and applicable law.

8. Data retention & deletion

We retain your information for as long as your workspace is active and as needed to provide xTracker. Records required for payroll, tax, or legal compliance may be retained longer where the law requires.

You may request deletion of your account and associated personal data at any time. When data is no longer needed, we delete or anonymize it. To request deletion, contact your workspace administrator or reach us using the details below.

9. Security

We protect your data with encryption in transit and at rest, access controls, and regular security reviews. Payment credentials are stored encrypted. While no system is perfectly secure, we work continuously to safeguard your information.

10. Your privacy rights

Depending on your location, you may have the right to access, correct, export, or delete your personal data, and to object to or restrict certain processing. You may also have the right to withdraw consent where processing is based on it. To exercise these rights, contact your workspace administrator or reach us using the details below. We will not discriminate against you for exercising any of these rights.

11. Children's privacy

xTracker is a workforce management tool intended for use by businesses and their employees. It is not directed to children, and we do not knowingly collect personal information from anyone under 16. If you believe a child has provided us with personal data, please contact us and we will delete it.

12. Cookies & tracking

Our website and app use essential cookies to keep you signed in and remember your preferences. We use a limited set of analytics cookies to understand product usage and improve xTracker. You can control non-essential cookies through your browser settings or our cookie banner.

13. Changes to this policy

We may update this Privacy Policy from time to time. When we make material changes, we'll update the “Last updated” date and, where appropriate, notify you within the product.
